Overview

ChurnWard is a dunning and revenue recovery service. We take your privacy seriously and only collect the data we need to provide the service. We don't sell your data, we don't share it with advertisers, and we don't use it for anything beyond running ChurnWard.

What we collect: your account

When you sign up, we collect:

• • Email address: for account access, billing notifications, and service updates.
• • Name: to personalise your account and communications.
• • Payment details: processed securely by Stripe. We don't store your card number.

What we collect: your payment processor data

When you connect your payment processor (Stripe or Dodo Payments), we access specific data needed to run dunning and analytics. We only request the permissions we need, nothing more.

• • Subscription data: active subscriptions, plan details, and subscription status. Used to track MRR and identify at-risk customers.
• • Payment events: successful payments, failed charges, and refunds. Used to trigger dunning flows and calculate recovery metrics.
• • Customer details: name, email address, and card expiry date. Used to send dunning emails and expiring card alerts.
• • What we don't access: we don't read full card numbers, bank account details, identity documents, or any data unrelated to subscriptions and payments.

How we use your data

• • Running the service: sending dunning emails, triggering retries, generating analytics, and sending card expiry alerts.
• • Billing: processing your ChurnWard subscription payments.
• • Service communications: billing reminders, renewal notices, and important service updates.
• • Improving the product: aggregate, anonymised usage data to understand how the service is used and where to improve.

What we don't do

• • We don't sell your data to anyone.
• • We don't share your data with advertisers or marketing platforms.
• • We don't use your customer data for our own marketing.
• • We don't access more data than we need from your payment processor.

Cookies

We keep cookies to a minimum. Here's exactly what we use:

• • Session cookies: required for authentication. These keep you logged in and expire when your session ends. Essential for the service to work.
• • Analytics cookie: we use Datafa.st for privacy-friendly website analytics. This sets a single cookie to understand how visitors use the site. No personal data is collected.

That's it. No tracking pixels, no retargeting cookies, no third-party advertising cookies.

Third-party services

We use a small number of third-party services to run ChurnWard:

• • Stripe: payment processing for your ChurnWard subscription.
• • Resend: transactional email delivery (dunning emails, account notifications).
• • Cloudflare: hosting and CDN.
• • Datafa.st: privacy-friendly website analytics.

Data retention

• • We keep your data for as long as your account is active.
• • If you cancel your account, we delete your data within 30 days.
• • We may retain anonymised, aggregate data (e.g. total recovery rates) for product improvement.
• • Billing records are retained as required by tax and accounting regulations.

Your rights

Depending on your location, you may have the right to:

• • Access the personal data we hold about you.
• • Request correction of inaccurate data.
• • Request deletion of your data.
• • Export your data in a portable format.
• • Object to processing of your data.
